Your Complete
Document
Checklist.

Missing a single document at the counter means a wasted appointment and another 4–8 week wait for a new booking. Use these checklists before every appointment — without exception.

Licence Conversion — All States

What to Bring to Every
Transport Agency Counter.

These documents are required at every state transport agency — Service NSW, VicRoads, TMR, Service SA and DoT WA. Confirm state-specific additions with us before attending.

Required Documents

Original Overseas Driver Licence — Physical Card

The physical licence card itself. Not a photocopy, not a digital image on your phone, not a photograph of the card. The original. If your licence has expired, bring it anyway — some states still require it.

NAATI-Certified Translation (if not in English)

A physical paper translation certified and stamped by a NAATI-accredited translator. Not an embassy certificate, not a notary stamp, not a translation app. Physical paper only — digital versions are not accepted at any counter.

100 Points of Identity

Typically: passport (70 pts) + Medicare card (25 pts) + utility bill with your name and address (25 pts). Requirements vary slightly by state — confirm before attending. Original documents only.

Proof of Australian Address

A utility bill, bank statement, or lease agreement showing your full name and current Australian address, dated within the last 3 months. Must match the address you provide in your application.

Current Visa Documentation

Your current visa grant letter, PR confirmation, or Australian citizenship certificate showing your current visa subclass and conditions. Print the ImmiAccount grant notice — don't rely on digital only.

Payment

Test fees and licence fees are paid at the counter on the day. Check the current fee schedule for your state before attending — fees are updated regularly. Bring both cash and card.

State-Specific Additions

NSW
Service NSW

DKT pass certificate if theory already done separately. Practical test booking confirmation. Medicare card strongly recommended for ID. Book well in advance — 4–8 week practical waits.

VIC
VicRoads

Both Road Rules and Hazard Perception test certificates if done separately. VicRoads country list differs from other states — confirm your classification first.

QLD
TMR — Queensland

PrepL completion certificate if done online before attending. QLD has its own reciprocal country agreements — confirm before assuming your country's status.

SA
Service SA — Most Important

Book your practical test before attending for theory. SA has the fewest test centres and longest waits (6–12 weeks) in Australia. Do not leave this to last.

WA
DoT WA

Use only WA-specific study materials — not generic national guides. Allow 3–4 hours at DoT Perth City. Arrive early. All originals required.

What Will Get You Rejected at the Counter

Digital copies of documents on your phone — not accepted anywhere

Photocopies of your overseas licence — original card required

Embassy or notary translation certificates — NAATI only

Translation apps or online translation printouts

Expired proof of address (older than 3 months)

Address proof that doesn't match your application address

Citizenship Application — DHA

What DHA Requires
for Citizenship Lodgement.

Missing or inaccurate information in any of these areas triggers DHA's automated review system — causing silent 12-month delays with no notification to you.

All Passports — Current and Previous

Your current passport and every previous passport you've used during your time in Australia. DHA cross-checks your declared travel history against border crossing records using these passport numbers. Missing a previous passport causes manual review.

Proof of Permanent Residency Grant

Your original PR grant letter or ImmiAccount confirmation showing your visa Subclass and the exact grant date. This is used to calculate your 365-day PR residency requirement. The date must be exact.

Complete Travel History — Every Trip for 8 Years

A complete list of every overseas trip in the 8 years before your application — departure date, return date, country visited, and purpose. We calculate this independently from your passport stamps, not from memory. A single missed or incorrect date triggers manual review.

Character Documents (if applicable)

Overseas police clearance certificates if you've lived overseas for 12+ consecutive months since age 16. AFP check covering your Australian residency period. These must be current — typically within 12 months of lodgement.

Tax File Number (TFN)

Required for the citizenship application. Must match the name on your identity documents exactly — including middle names and spelling. A name mismatch between your TFN and your DHA application is a common flag.

Complete Address History

Every address you've lived at in Australia during your residency period. Addresses must match exactly what's on file with ATO and Centrelink. Even a unit number format difference (e.g. "U2" vs "Unit 2") can flag your application.

Employment History

A complete record of your employment in Australia — employer names, dates, and positions. This is cross-checked against ATO records. Gaps must be explained.

Character Questions — Read These Carefully

The character questions are legally precise and cover criminal history, court orders, membership of organisations, and other matters. Answering No when Yes was technically correct — even for resolved minor matters — flags your application immediately. We review every answer with you before submission.

✓ Why We Do It For You

Every field in the DHA citizenship application is cross-verified against government records before submission. We independently calculate your travel day-count from your passport stamps, cross-check your address history against ATO records, and review every character question with you. A field-perfect application submitted on your eligibility date gives you the fastest possible processing time.

Passport — APO

What APO Requires
After Your Ceremony.

Wait at least 72 hours after your ceremony before attending any passport office. The DHA–APO database sync must complete first.

Australian Citizenship Certificate — Original

The certificate issued at your ceremony. This is your primary identity document for the passport application. Keep the original safe — it cannot easily be replaced. Certified copies are available but the original is required for first passport lodgement.

Current or Most Recent Overseas Passport

Used as supporting identity alongside your citizenship certificate. Expired overseas passports are accepted for identity purposes. You do not surrender your overseas passport — it is returned to you after the appointment.

Compliant Passport Photos × 2

35×45mm exactly. Plain white or off-white background only — cream or grey backgrounds are rejected. Taken within the last 6 months. No glasses. Neutral expression, mouth closed. No shadows on face or background. Most chemist and DIY photos fail APO's specification — we arrange compliant photos for you.

Completed Form B2 — Australian Passport Application

The official APO form, completed in full and signed. One section must be certified by your identity referee. We complete Form B2 for all our clients — a single incorrect field causes rejection.

Identity Referee — Signed and Certified

An Australian citizen aged 18+ who has known you personally for at least 12 months, is not related to you, and holds an approved occupation (doctor, teacher, accountant, lawyer, police officer, engineer, nurse, and others). They sign and certify the photo and a section of Form B2.

Payment

Adult passport (10-year) current fee — check APO website for the current amount at time of application. Payment is made at lodgement.

Travel Documentation (Express / Emergency Only)

For express or emergency processing, a confirmed flight itinerary showing departure within the required timeframe is mandatory. Unconfirmed or pending bookings are not accepted.

⚠ The 72-Hour Rule

Do not attend a passport office within 72 hours of your citizenship ceremony. The DHA–APO database sync must complete first — if you apply before it does, your application is rejected on the spot. We monitor the sync and contact you the moment it's confirmed. Message us the day of your ceremony.

NAATI Translation Checklist

When Do You Need
a NAATI Translation?

If your document is not in English, or if the English on your document doesn't fully describe what's on the original, you need a NAATI-certified translation. Here's when it's required.

!
Overseas Driver Licence — Required if Not in English

All 5 Australian states require a NAATI-certified translation of your overseas driver licence if it is not issued in English. This includes licences from India, Philippines, China, South Korea, Japan, Vietnam, Thailand, Indonesia, and all other non-English-language countries.

!
Overseas Passport — Required for DHA if Non-English

If any pages of your overseas passport (bio data page, visa pages, entry/exit stamps) are in a non-English language, DHA may require certified translations of those pages for your citizenship application.

!
Birth Certificate — Required for DHA if Non-English

If your birth certificate is not in English, DHA requires a NAATI-certified translation for citizenship applications. This applies even if you have an English-language summary or extract.

!
Marriage Certificate — Required if Relevant & Non-English

If your name has changed due to marriage and your marriage certificate is not in English, you may need a certified translation to reconcile your identity documents for DHA applications.

!
Overseas Police Clearance — Required if Non-English

If you've lived overseas for 12+ consecutive months since age 16, DHA requires an overseas police clearance. If that clearance is not in English, a NAATI-certified translation is mandatory.

Documents Already in English

Documents issued in English (UK, USA, Ireland, NZ, Singapore licences etc.) do not require translation. However, if your licence has non-English annotations, endorsements or secondary text, a partial translation may still be required — we advise.

✓ Not Sure If You Need One?

Send us a photo of your document on WhatsApp and we'll tell you within 2 hours whether a NAATI translation is required — and if so, we'll have a quote and turnaround time for you immediately.
